This is a translation of the Dutch original. Where the two differ, the Dutch text prevails.
In short: you cancel with effect from the end of the period you have paid for, and you see that period out. Money paid in advance is not refunded. This document explains why, and names the cases where it is.
1 · You can always cancel, effective at the end of the period
You cancel yourself in the customer portal, or email contact@evvect.com. Your subscription then runs until the end of the period you paid for and stops after that.
Until then you can undo the cancellation — with the same button in the portal. Nothing about your access changes while the period runs.
2 · Money paid in advance is not refunded
If you take an annual subscription and cancel after three months, your subscription runs until the end of that year and you do not get the remaining nine months back.
That is not a small-print trick but the reason an annual subscription is cheaper: with us a year costs ten months. You pay in advance for a longer period and get a discount for it. If you could reclaim the remainder at any moment, that discount would be a free option — a monthly subscription would then be cheaper for everyone, and we could not offer the discount at all.
The same applies to quarterly and half-yearly subscriptions.
3 · Not sure? Start monthly
You can always start monthly and move to a longer period later. In the customer portal you can change period yourself; it takes effect at your next renewal, so you never pay twice.
With Evvect Rental you also get fourteen days to try it for free. Nothing is charged during that period and you are not committed to anything. Hosting has no trial period: that starts right away.
4 · When you do get money back
- We cancel. If we end the service early and it is not down to you, you get the part you paid in advance back, pro rata.
- We miss our own standard. If we miss the availability in our SLA three months in a row, you may cancel immediately and we refund the prepaid portion.
- A mistake of ours on the invoice. If we invoiced too much, we correct it with a credit note. That is not goodwill but fixing an error, and you do not have to ask for it if we spot it ourselves.
- Paid twice. If an amount was collected twice, we refund it as soon as we see it or as soon as you tell us.
5 · What happens to your data when you cancel
You take your data with you in a common, open format. We charge nothing for that. Ask for it before the end of your period and it is ready before your access stops.
After your subscription ends we keep your data for another thirty days, so a cancellation that turns out to be a mistake can be undone. After that we delete it, except for what we are legally required to keep — invoices and the bookkeeping around them we keep for seven years.
6 · Questions
If you are in a situation this document does not cover, email contact@evvect.com. If something works out unreasonably, we would rather hear it than have you solve it by leaving.
